Write a German email at B1–B2: original tasks and annotated examples

Practise three German emails: a personal invitation, a formal appointment change and a professional request. Use original examples and a task-completion checklist.

What belongs in a useful German email?

Make the purpose visible early, include the details the reader needs and state the next action. Match the greeting and tone to your relationship. These three tasks are original practice examples; official exams may set different requirements and word counts.

1. A personal invitation

Invite a friend to dinner on Saturday at 19:00, explain what you will cook and ask about dietary preferences. Write your version before opening the example.

Answers and explanation

Hallo Mia,

hast du am Samstag um 19 Uhr Zeit? Ich würde dich gern zum Essen einladen. Ich plane eine Gemüsesuppe und Brot. Gibt es etwas, das du nicht essen möchtest? Sag mir bitte bis Freitag Bescheid, damit ich einkaufen kann.

Liebe Grüße
Alex

The invitation contains a time, a plan and a clear request for a reply. The first-name greeting and closing fit a personal relationship.

2. A formal appointment change

Ask an office to move your appointment. Include the original appointment, a brief reason, an alternative and a request for confirmation. The illustrated example shows the function of each part.

A clear request to reschedule an appointment

Original fictional practice task, not an official exam task

Try it yourself

Replace the alternative with Friday at 09:00 while keeping a polite question.

Wäre ein Termin am ___ um ___ Uhr möglich?

Reveal the answer

Wäre ein Termin am Freitag um 9 Uhr möglich?

Change the day and time; keep Wäre … möglich. Other clear, polite formulations are possible.

This email answers three concrete needs: explain the change, give a brief reason and offer another appointment. Exam providers have different tasks; follow the exact instructions for your exam.

3. A professional request for missing information

You need delivery dates to complete an overview. Ask a colleague for the missing dates by Thursday at 12:00 and explain what you can complete once they arrive.

Answers and explanation

Betreff: Lieferdaten für die Übersicht

Guten Tag Frau Weber,

für die Übersicht fehlen mir noch die Lieferdaten zu den Aufträgen 12 und 18. Könnten Sie mir diese bitte bis Donnerstag um 12 Uhr zusenden? Danach kann ich die Übersicht am Nachmittag abschließen. Falls die Termine noch nicht feststehen, hilft mir auch eine kurze Rückmeldung zum aktuellen Stand.

Vielen Dank und freundliche Grüße
Alex Müller

The request names the missing information and deadline. The alternative response avoids forcing the reader to invent an unavailable date.

Check task completion before polishing

  • Are all requested details present?
  • Can the reader identify the requested action and timing?
  • Do greeting, pronouns and closing use a consistent register?
  • Are clauses and verb positions understandable?

Rewrite one email with a changed recipient or deadline. Compare both versions and explain which wording needed to change. These tasks do not provide automated writing assessment.
